Marquis Association Management, as the managing agent of your Association, collects and has access to certain personal information of the owners and residents of your building(s), whether from the Association’s books and records or otherwise. This information is essential to enable us to carry out our job as managing agent and is used solely in the performance of our duties and obligations under our management contract. We treat such information confidentially and with respect to your privacy rights. We only want to make your community a better place to live and have no desire to use your personal information for any other purpose or in any other manner without your express consent. Personal information we obtain from emails or our website is treated in the same confidential manner as personal information obtained from the Association’s books and records.
We do not sell or distribute your personal information, including the Association’s roster of unit owners or their names, phone numbers or email or other addresses. We will, however, as part of our management services, send directly to you (not using any outside party other than any necessary printing services) email messages and other notices regarding official Association business or that we think may be of interest to you (including promotional materials and advertisements, such as our magazine, South Florida Opulence). If you do not want to receive any such information (other than the official Association notices we are required to deliver) please let us know either by calling us at 786-655-5155 or by emailing us at [email protected] and we will be sure to take you off the list of Association owners receiving such information and material.
In addition, we upload certain information to the website we host for your Association and building; this includes a website address book, containing email addresses and other personal contact details. Again, if you don’t want your personal information included on this website please let us know and we will ensure that such information is not included on the Association’s website. Note that when you visit the Association’s website, certain personal information may automatically be collected (e.g. your IP address, browser type, computer type, time and date of use, name of your internet service provider and the pages on the site that you view). However, this information is anonymous and is not linked to any information which can personally identify you. Further, when you visit the Association’s website, one or more “cookies” may be sent to your computer or other access device. Cookies may store identifiers, preferences and other information which the website can recognize when the user revisits. If you don’t want the website to recognize you when you revisit, you should reset your internet browser to refuse or delete all cookies.
Please rest assured that we do not give out any of your personal information to any third party vendors or affinity partners with whom we do business unless you specifically authorize us to do so. Similarly, any information about the identity and/or frequency and type of visitors or guests you may have on your property is not shared with anyone (except as may be required under law).
Florida law recently has been updated so your email addresses and phone numbers no longer are part of the Association’s official records accessible by other Association members. Accordingly, neither your fellow residents nor any third parties can gain access to such contact details by requesting them from us or the Association’s official records. However, if any owner does request the Association’s official records we are required to make such disclosure, which includes a list of unit owner names. We cannot prevent residents who receive such owner lists from turning around and disseminating them to others or using them for their own solicitations or other purposes. Since we are not in a position to limit such dissemination, under Florida Law Marquis Association Management has no liability for any actions based on our dissemination of official Association records pursuant to a records request which we reasonably believe is legitimate.
Marquis Association Management takes your privacy very seriously and therefore will never share any of your personal information with any third parties not affiliated with Marquis Association Management. We use industry standard technical and administrative security measures to protect your information. Our employees have access to your personal information only on a need to know basis.
If we decide to change our Privacy Policy we will give you notice of such changes by posting them on your Association’s website. While we do reserve the right to change our Privacy Policy at any time our paramount goal is to provide you with freedom from unwanted solicitations and ensure your privacy.
